The Operational Excellence Champion serves as a partner to the CEO in oversight of the organization's Human Support Resources Matrix and drives increased operational efficiency and quality and provides support in the following areas:

*** Human Resource Allocation

*** Project Management Support

*** Key Performance Indicator and other Metrics Collection, Analysis and Reporting

*** Quality Assurance & Policy Congruency

*** Grants Performance Tracking

Detailed Functional Activities:

HUMAN RESOURCE ALLOCATION

*** Assist management in scheduling and assignment planning.

*** Drives greater efficiency in resource deployment by providing The Organization Policy & Advocacy Managers with options related to human resource capacity, capabilities, and availability.

*** Develops a system for the different Policy Areas to request staff resources from The Organization's Matrix of Talent.

*** Leads scheduling meetings to address resource needs, conflicts, and any other issues.

*** Monitors over-and-underutilized staff and determines appropriate resources or solutions to balance workload.

*** Selects and implements a project management and human resource scheduling and reporting system to forecast hours needed, track actual v. scheduled utilization, manage projects and grant deliverables, etc.

*** Analyzes weekly staff schedules and availability reports. Implements adjustments as necessary.

*** Continuously builds strong relationships with managers and staff to drive resourcing initiatives and maintain skills matrix.

PROJECT MANAGEMENT SUPPORT

*** Helps The Organization staff to develop project plans and independently monitors and audits project activities and guides management to ensure that implementation phases are completed on time.

*** Uses project and resource management software to schedule The Organization's Matrix Staff Resources for projects and communicates assignments to appropriate staff. Monitors proper use of staff resources.

*** Monitors project timelines and track and report project progress and deviations.

*** Communicates impact of status changes to project plans and progress.

*** Monitors, evaluates and records employee project performance. Provides performance data for annual staff evaluations.

METRICS COLLECTION, ANALYSIS AND REPORTING

*** Provides oversight and support for workflow processes using data analytics.

*** Develops programs and implement automated methods and systems to track workflow and performance efficiencies including dashboards and reports to track metrics, grant opportunities and key performance indicators.

*** Participates in measurement of performance metrics as required. Identifies potential areas where policies and procedures require development or change.

*** Identifies and suggests implementation of improved work and processes.

*** Assists in development and authoring of Standard Operating Procedures and improved practice standards.

QUALITY ASSURANCE & POLICY CONGRUENCY

*** Leads the development of a written quality assurance plan that fosters and supports the highest standards for staff efficiency, process consistency, stakeholder relations, and policy objective achievement.

*** Develops and coordinates processes that enhance the quality of The Organization's work such as creating documentation standards, reviewing files, and integrating stakeholder feedback through focus groups, surveys, interviews, etc.

*** Collaborates with The Organization leadership to develop measurable outcomes for each Policy Subject Category Area and Grant.

*** Verifies that staff are maintaining accurate tracking, statistics and reporting.

*** Networking Audio Visual & Social Media Technology Department Intern Quality Control.

--- Verifies that interns are properly on-boarded: Assigned to specific tech platform, Received SOP documents; and Reviewed prior intern activity reports.

--- Ensures that interns are only posting The Organization approved and Content Catalog curated content.

--- Confirms each intern's regular submission of activity reports and its submission into The Organization's Document Library.

GRANTS PERFORMANCE TRACKING

*** Monitor progress and status of deliverables and communicate appropriately.

*** Assist in coordinating program data collection and evaluation for grant reporting

*** Verify metrics required for multiple grants, including deadlines.

*** Regularly meet with staff assigned to ensure metrics are met and to see that programs are on track and address concerns early if needed.

QUALIFIERS:

*** Ability to be a rigid bureaucrat without appearing as one.

*** Track record providing project management and resource management leadership with a complex services business or nonprofit.

*** Solid hands on ability with small scale enterprise management software. Specifically project management and staff allocation.

*** Eagerness to fulfill a "many-hats" role without direct reporting staff.

*** Competency in staff relations operating with a high degree of personal and professional integrity.

*** Able to quickly author clear and concise Standard Operating Procedure documents based on imagination, observation and interview.

REQUIREMENTS:

*** Bachelors Degree

*** Formal Project Management and/or LEAN Training. PMP or Six-Sigma certification a plus.

*** Hands on experience with automated Project Management and Metrics Monitoring systems.

*** A minimum of 2-3 years in a professional services role, project management experience, and/or HR experience OR 1-2 years in a resource planning/coordinating role.
